In the ever-evolving landscape of data generation and consumption, the need for effective data governance has become paramount. Following our previously published service brochure about why master data governance is crucial to every business, this whitepaper serves as a comprehensive follow-up. It sheds light on the key preparatory activities, decisions taken, practical challenges encountered and respective solutions identified during a recent global SAP Master Data Governance (MDG) implementation project for business partners (customers and suppliers) data.

The lessons learned in this document are from a project that involved global MDG design and rollout for a highly complex environment with more than 25 local SAP ECC systems connected all over the globe. The insights are grouped according to the four “SAP Activate” phases that are applicable to this specific implementation:

  • Prepare: focus on data quality, harmonisation and governance balance.
  • Explore: emphasise fit-to-standard analysis and readiness of centralised roles.
  • Realise: highlight testing strategies and ensure accurate data validation.
  • Deploy: address user training and consider data migration pre-requisites and impacts.

From deciding which data should be governed either centrally or locally to identifying data migration impacts, this whitepaper offers a rich tapestry of advice and best practices that can guide future MDG implementations across all data domains and industries.

Why master data governance matters

As organisations collect and analyse more data, it becomes critical to establish policies and processes for managing and securing that data, ensuring its accuracy, and compliance with evolving regulations. At the same time, new technologies such as AI and machine learning require high quality data to function effectively.

Phase 1: Prepare

Setup and enablement

Clearly decide which data should be governed either centrally or locally

Keep country-specific settings (SAP table T005), e.g. currency, date formats and UoM, as standard as possible

Once the deduplication approach is finalised, make sure stakeholders understand all the implications

Phase 2: Explore

Fit-to-standard analysis, scope and configuration

Ensure the readiness of centralised roles (e.g. Specialists and Approvers), which are typically located in hubs, to support local business

Ensure local ERPs and other connected systems are properly configured to be interfaced with MDG

Ensure all local ERP validations/customisations are known before fit-to-standard build starts

Phase 3: Realise

Migrate, integrate, extend and test

Perform at least one full data validation cycle before production load

One test script may generate multiple CRs in MDG. It’s important to have a clear and appropriate testing approach to allow precise planning, tracking and reporting

Gain time by decoupling MDG workflows testing from replication testing

Phase 4: Deploy

Onboard users and deploy

Train superusers from the local business and/or IT on how to monitor IDocs and the status of CRs

Shared customers/suppliers could have open CRs in the productive environment, which could affect the quality of data loads

Data migration may have an impact on live countries. Errors and overwriting of specific fields may occur for live countries when migrating shared BPs

Conclusions

  1. Elevate your data quality and governance
Implementing MDG can be a complex endeavour, but the benefits are significant. It not only enhances your data quality and governance but also optimises your business processes and streamlines your journey to S/4HANA.
  2. Evaluate the complexity factors of your MDG implementation
The complexity of an MDG implementation largely depends on the current quality of your data, system landscape and readiness or maturity of your IT, business and data governance organisation. A well-prepared organisation can significantly ease and speed up the implementation process.
